Self check-in bot Early access

Verified before they reach the lobby

A WhatsApp assistant that checks guests in the day before they arrive: ID from DigiLocker or a photo, a selfie match, a signed registration card and the balance paid by UPI. Your front desk sees a green tick and hands over the key.

How it works

Six steps, about three minutes for the guest

  1. The bot says helloA day before arrival, the guest gets a WhatsApp message from your property's number. Walk-ins scan a QR code at the desk instead.
  2. Details and co-guests confirmedName, dates and room type come from the booking. The guest adds anyone travelling with them.
  3. ID sharedAadhaar fetched from DigiLocker, or a photo of a passport, driving licence or voter ID, read automatically.
  4. Selfie matched to the IDA quick selfie with a liveness check, compared against the photo on the document.
  5. Registration card signedThe guest registration card fills itself in. The guest checks it, signs on screen and adds an arrival time.
  6. Balance paid, room readyA UPI link settles the balance or deposit. The desk sees "Verified" and has the key waiting.
What the bot checks

Careful with documents, never rude to guests

The bot does the reading and matching. Anything it isn't sure about goes to a person: it never turns a guest away on its own.

The document itself

Expired, unreadable or cropped IDs are caught, and names are compared against the booking. DigiLocker documents come signed by the issuer, so they can't be edited.

The person holding it

A liveness check stops a photo of a photo, and the selfie is matched against the ID picture. Low-confidence matches are flagged, not rejected.

Everyone in the room

Every adult shares an ID. Minors are linked to a guardian on the booking, and the guest count is checked against the room's occupancy.

Foreign nationals

Passport and visa details are captured, and the Form C information is prepared for your staff to submit to the Bureau of Immigration within 24 hours of arrival.

The guest register

Every check-in lands in a digital register with ID, photo and signature, searchable by date or name when the police or an auditor asks.

Your front desk's queue

Arrivals show as Verified, Needs review or Not started. Staff can nudge a guest, finish a check-in by hand, or override with a note.

Privacy by design

Guest IDs treated like the sensitive data they are

Built with India's Digital Personal Data Protection Act, 2023 in mind.

Consent first

Guests see what is collected and why before they share anything, and can choose to check in at the desk instead.

Masked Aadhaar

Only the last four digits of an Aadhaar number are stored. Full numbers are never shown to staff.

Access by role

Front desk sees what it needs to check a guest in. Every view of a document is logged.

Retention you set

Choose how long documents are kept, and delete a guest's data on request in one step.

Self check-in FAQs

Owners usually ask

Do guests need to install an app?

No. The check-in runs inside WhatsApp. Guests without WhatsApp get a secure web link by SMS or email instead.

What happens if verification fails?

The bot never turns a guest away. Anything it cannot confirm, such as a blurry ID, a name mismatch or a failed selfie match, is flagged for your front desk to check in person.

Does it handle foreign nationals?

Yes. It captures passport and visa details and prepares the Form C information your staff submit to the Bureau of Immigration within 24 hours of arrival.

Can we turn the selfie step off?

Yes. Each step can be switched on or off per property, so a homestay and a 60-room hotel can run it differently.

Does it work without the rest of the Hostarra Platform?

It works best with the Hostarra front desk, where verified guests appear on the arrivals board automatically. We can also discuss running it alongside your existing PMS during early access.
